The Add/Edit/Copy Metadata page allows you to create a new metadata template, modify an existing metadata template, or copy an existing metadata template to create a new metadata template.

When you add or import an asset, you may choose to specify certain fields of metadata to be attached to the asset. If you are creating or importing numerous digital assets, or you want to maintain consistency of the metadata, you can create one or more metadata templates. A metadata template defines which Dublin Core metadata fields will be required or will be optional when a user adds an asset.

Portfolio requires one metadata template to be the default metadata template. The template set as the default template cannot be removed from the system. If another template is already set as the default, and you specify another template as the default template, that template becomes the new default metadata template. If you are currently editing the default template, the checkbox to set the template as the default template is disabled and cannot be changed.

Metadata Template

Displays the selected metadata template that you are modifying or copying. This field does not display when you are creating a new template.

Code

Specifies a unique code for the metadata template. The code may be up to 30 characters long. This field is required. The Entry Code cannot include spaces. If you enter a space, Portfolio will display an error message when you save the settings.

Name

Specifies the system name of the metadata template (up to 80 characters) for the specified language. This name is used to identify the metadata template on the Metadata Templates page and on any other pages in the Admin console that display the template name. This field is required.

For this field, you can also specify an alternate name for a specific language. Choose the language from the drop-down list of supported languages, then enter the localized name in the field.

Note: If your web browser is configured to use a display language that is not supported by Portfolio and you have chosen to display the Admin console in a language other than the default language (en_US), the language that displays in the drop-down list of supported languages defaults to US English.

If a localized name already exists for a specific language, the software displays that language name differently in the drop-down list. When you enter a localized name for a specific language, the language name appears with a "++" suffix. If you clear the localized name for a specific language, the software displays the language name without the different formatting.

Description

Specifies a text description of this metadata template (up to 255 characters).

Set as default

Specifies whether this metadata template is used as the default metadata template for the system. The default template is specified by the software when no other template is selected for adding or importing digital assets.

Only one metadata template on the system can be set as the default. If another template is already set as the default, when you choose Set as Default for another template, that template becomes the new default metadata template. If you are currently editing the default metadata template, this checkbox is disabled and cannot be changed.

Note: You must specify a metadata template as the default metadata template on the system. Only one metadata template can be set as the default.

Required Metadata

The Required Metadata table allows you to select the metadata fields that must be completed when the metadata template is used to create the asset. As you select required metadata fields, the fields display in a table under Required Metadata.

Default Text

Specifies the text that will be used as the default value for the selected metadata field. This field is useful if you are adding numerous digital assets with the same metadata. For example, if you are adding many digital assets that were published in Spanish, you can add Language as a required metadata field, and specify “Spanish” as its default value.

Required Metadata options

Use the following options to determine which metadata fields display in the table.

Add Row

Creates a row in the required metadata table. When you create a row in the metadata table, a selection field and a corresponding Required Text field display. Select the desired metadata field, then type the default information for that field in the corresponding Default Text field.

The drop-down list includes the Dublin Core metadata fields at the top of the list and any metadata fields mapped to search fields below the Dublin Core fields. The search field metadata fields include the metadata name followed by the search field name (in parentheses). "None", in parentheses, indicates that no search field has been mapped to the metadata field.

Remove

Deletes the selected row in the metadata table. This option deletes the selected metadata field and any information specified in its corresponding Default Text field.

Optional Metadata

Allows you to select additional, optional metadata fields for the metadata template. As you select optional metadata fields, the fields display in a table under Optional Metadata.

Default Text

Specifies the text that will be used as the default value for the selected metadata field. This field is useful if you are adding numerous digital assets with the same metadata. For example, if you are adding many digital assets for a particular subject, you can add Subject as an optional metadata field, and specify “Ancient History” as its default value.

Optional Metadata options

Use the following options to determine which metadata fields display in the table.
